Requesting Accounts for External Examiners
There has been a change in process for requesting External Examiner accounts. All new External Examiners will receive a YSJ account, this will allow access to our VLE as well as the ability to share documents via the OneDrive and SharePoint.
Via the Staff IT Help Portal click Log a Ticket
From here select Make a Request to start your ticket
Under the subject please let us know that this a request for External Examiner accounts
Under the description we will need the following information for each External Examiner requested:
First name
Last name
Job title
Start date
End date
Mobile number (this is for multi-factor authentication to our system)
Which school they will sit with
Once you have included all information, send the ticket.
Once the Account is created
The external Examiner will receive the following email:
Hi XXX,
This email is to pass onto you your account details at York St John University to allow you to act as an external examiner. This was requested by the External Examiners team.
Please note that your user ID is below, but your password will be sent via an SMS message shortly after this email is sent. The SMS will just contain a set of letters and numbers.
Please note that you must have the Microsoft authenticator app installed on your phone so that you can do multifactor authentication when you sign in.
Please can you activate your account as soon as possible by going to https://moodle.yorksj.ac.uk/ and select Staff and Student login, so that the School administrators can add you to the relevant Moodle pages.
When you first login you will be asked to change your password.
Your YSJ username is: XXXXX @yorksj.ac.uk
Please contact the School admin team (copied into this email) if you have any problems with logging in to Moodle.

Once the External Examiner has logged into Moodle for the first time via the YSJ Staff & Student Login, the school admin team can attach the EE to the relevant modules.
Closing the EE Account
The External Examiner account will automatically close one calendar year after the start date. If the EE needs to extend their time, please create a new ticket, provide the email for the External Examiner and the new end date.
